Going Paperless: The Nuts and Bolts of Converting Your Office to a Digital Environment

In the last edition of The Bottom Line, the first part of this article discussed the various compelling reasons to convert your office to a digital environment, defined essentially as having all of your paper files maintained in digital format. If, after reading that article, you are now convinced it is time to make the conversion in your office, this article is intended to give you a basic tutorial on how to make that happen. It is far easier than you might expect, and once the technology is in place and the proper protocols are created, trained and followed, you will experience efficiencies you would not otherwise anticipate, easily making up for the work involved in adopting the new procedures.
In this article I will discuss the basic technology needed to achieve this conversion. I will then outline the office procedures you will need to implement to facilitate a functioning digital office. Finally, I will discuss additional technologies and procedures you can use to make your digital office even more beneficial to you.
