Reports to: Senior Section Manager 


The California Lawyers Association (CLA) is the Bar association for all California attorneys. We are a member-driven, mission-focused organization dedicated to the professional advancement of attorneys practicing in the state of California. CLA houses the eighteen Sections including the New Lawyers Section (NLS) that share an area of interest in law and each offers top-tier programs, award winning conferences, events, and provides access to outstanding legal resources. Under general supervision, the Administrative Specialist (AS) provides a broad range of administrative and organizational support to assigned Section Managers and association members. The Administrative Specialist maintains expert knowledge about the organization, provides information, troubleshoots common issues and determines the most efficient and effective ways to support and assist the Sections. The AS must possess excellent customer service skills and have a keen ability to problem solve and provide solutions. This job requires up to 10% out of town, overnight travel. 

Duties and  Responsibilities: 

  • Coordinate administrative procedures for and provide assistance to assigned Sections and Section Managers 
  • Assist in the planning and logistics of activities, events, meetings and webinars 
  • Maintain and order supplies and materials 
  • Provide excellent customer service by responding to inquiries, give updates and requested information regarding programs and services via written or verbal response 
  • Compose and send emails and other correspondence, notices, memos, meeting minutes 
  • Update and maintain Section rosters and other Section lists 
  • Maintain and organize calendars of events and meetings 
  • Schedule and coordinate zoom meetings, conference calls, other meetings 
  • Distribute and track projects, assignments and tasks 
  • Provide accounting support, including processing expense reports, check requests, and invoice payments 
  • Evaluate administrative procedures and recommend solutions and alternative methods 
  • Maintain and/or develop electronic filing systems 
  • Perform other similar administrative tasks and duties 


  • Earned a high school diploma or equivalent 
  • At least (3) three years of administrative office experience 
  • Strong skills with the Microsoft Office Suite and ability to learn and use databases and other software programs 
  • Analytical and research skills 
  • Research techniques and procedures 
  • Problem solve and provide solutions 
  • Excellent knowledge of vocabulary, grammar, spelling and punctuation 
  • Proficient in business math 
  • Communicate clearly and effectively in person, by telephone and in writing 
  • Methods of analyzing and synthesizing specific policies, programs, and 
  • Procedures and how they interact with the general CLA policies, programs, and procedures 
  • Workflow and production management principles and techniques
