This position is an in-office position Monday through Friday.  The office is located at 400 Capitol Mall, Suite 650, Sacramento.


The Office Administrative Specialist will be responsible for providing excellent customer service and serve as the first point of contact at the California Lawyers Association (CLA) office site at 400 Capitol Mall, Sacramento.  This includes being responsible for answering and directing member phone calls and being responsible for the CLA Info email box. This includes researching questions and issues thoroughly and responding timely and accurately.  The Office Administrative Specialist will be responsible for organizing and maintaining office supplies including the postage machine, receiving, sorting and distributing incoming mail, accepting deliveries, and providing support to CLA staff with administrative work, including preparing and packing materials and supplies for events as assigned. The Office Administrative Specialist is responsible for ordering catering for in-house meetings, ordering, stocking and maintaining kitchen areas, and acting as the point person with property management for maintenance and work orders. The Office Administrative Specialist is an important member of the Member Services Team, but works cross-functionally with all members of the CLA professional staff.

Skills and Requirements:

  • Answer phone calls and written questions, concerns, and complaints regarding membership and provide great customer service and support
  • Provide information on membership fees, policies, processes, benefits, products, and services
  • Actively listen to members and identify their needs
  • Investigate, resolve, and escalate membership and payment issues
  • Assess member eligibility and processing payments, applications, and requests
  • Handles confidential and non-routine information and explains policies when necessary
  • Works independently and within a team on special nonrecurring and ongoing projects
  • Manages schedules and organizes activities such as meetings, travel, conferences and department activities for Membership Services
  • Provide member information to outside organizations
  • Greet and direct guests in the office
  • Ensure the CLA office is maintained with supplies and materials by keeping inventory
  • Receive and fulfill office supply orders from CLA professional staff
  • Receive, sort and distribute daily mail and deliveries
  • Perform other similar or related duties which may not be specifically included within this position description, but which are consistent within the general level of the job and the responsibilities described above
  • Keep updated records of office expenses and costs
  • Assist in the planning of and logistical functions of programs and events, including maintaining supplies and materials
  • regarding programs and services
  • Write and distribute email, correspondence memos, letters, and forms
  • Communicate and correspond with CLA members concerning member records and prepare and issue requested information
  • Perform other clerical duties such as filing, photocopying, transcribing and faxing


  • High school diploma or equivalent
  • Preferably a minimum of two years post-secondary education
  • Preferably at least two years of experience interacting with and performing data control functions
  • Solid knowledge and experience with Microsoft Office Suite
  • Excellent customer service and organizational skills
  • Clear and effective communication in person, by telephone and in writing
  • Knowledge and use of the basic rules of vocabulary, grammar, spelling, and punctuation
  • Ability to perform business math for completing non-technical calculations
  • Familiarity with database record keeping systems
  • Ability to prepare data and reports
  • Ability to use research techniques and procedures
  • Assist in the logistical functions of an activity/event and maintain supplies and materials
